Xero integration

Turn wholesale purchase orders into Xero invoices

For most wholesale brands, Xero is where the money gets counted. Getting orders into it is the slow part: reading each purchase order, finding the contact, keying the lines, checking the tax code and sending the invoice. DELLI AI reads your purchase orders, you approve them, and the invoice is raised in Xero for you.

How it works

  1. Sign in with Xero. Connect Gmail or Outlook first, then ask DELLI AI to connect Xero. You sign in with your Xero account and pick the organisation you invoice from. There is no form to fill in.
  2. Bring in your products and customers. DELLI AI imports your Xero items and contacts, or links them to the products and customers you already have, matching items by code first.
  3. Orders arrive and get checked. Purchase orders from email, WhatsApp, Faire, Ankorstore, EDI and portals land in one queue, matched to your Xero products and contacts.
  4. You approve, Xero invoices. When you accept an order, the invoice is created in Xero and Xero numbers it. You choose whether it lands as a draft for you to check or goes straight to the customer.

What moves between Xero and DELLI AI

Why brands connect Xero

No more rekeying

An approved order turns into a Xero invoice without anyone typing the lines in again.

Tax codes that work

If a product has no tax code, DELLI AI gives the line a valid Xero code when the invoice is made, so a gap never blocks the invoice.

Draft or sent, your call

Leave invoices as drafts to check in Xero, or have them approved and emailed to the customer from Xero as soon as you accept the order.

Order history from Xero

Past Xero invoices come in as order history, so DELLI AI learns who usually orders what.

Good to know

Questions

Will DELLI AI send anything without asking me?

No. Nothing goes to Xero until you approve it. Customers only go to Xero when you ask, unless you choose to switch on automatic customer sync.

Can invoices go to customers straight from Xero?

Yes, if you choose sent mode. Xero approves and emails the invoice when you accept the order. In that mode a customer needs an email address.

What date goes on the invoice?

You choose: the day you accept the order, or the order's delivery date. The due date follows the customer's payment terms in Xero.

Can I bring in my older invoices?

Yes. New invoices come in every night, and an admin can import your history a month at a time, as far back as you want reorder history.

Can I add shipping to the invoice?

Yes. Shipping shows as its own line against a shipping item. DELLI AI can create that item in Xero for you.
